TERMS OF DEPLOYMENT
Ministry of Dogs — Terms & Conditions
Last updated: 17 July 2026
These Terms explain the agreement between [FULL LEGAL NAME], trading as Ministry of Dogs (“the Ministry”, “we”, “us”) and the person arranging or paying for our services (“the Handler”, “you”).
By confirming a booking, starting a membership or permitting a service to commence, you agree to these Terms.
1. Field Command Details
Trading name: Ministry of Dogs
Legal name: [INSERT]
Business address: [INSERT]
Email: [INSERT]
Telephone: [INSERT]
2. Services Covered
These Terms apply to:
-
One-Hour Field Ops Pack Patrols
-
Extended 2-Hour+ Missions
-
Day Manoeuvres
-
Home Welfare Patrols
-
House & Hound Watch
-
Canine Logistics and Transportation
-
Any other individually agreed dog-care service
The confirmed booking will state the selected service, price, expected duration, collection arrangements and any additional requirements.
3. Formation of the Contract
Submitting an enquiry does not create a confirmed booking.
A contract begins when we accept the booking or membership and confirm the service, price and relevant arrangements.
If these Terms conflict with a specific written booking agreement, the specific written agreement will take priority for that booking.
4. Enlistment and Assessment
All prospective operatives must complete a meet and greet and any assessment we reasonably consider necessary.
Assessment may include the dog’s:
-
Temperament and confidence
-
Health and mobility
-
Recall and lead behaviour
-
Travel behaviour
-
Compatibility with other dogs
-
Handling requirements
-
Response to unfamiliar surroundings
We may decline, suspend or alter a service where we reasonably consider it unsuitable or unsafe.
Acceptance for one service does not guarantee acceptance for every Ministry operation.
5. Handler Responsibilities
You must provide complete and accurate information concerning:
-
Health conditions, injuries and allergies
-
Medication and dietary requirements
-
Vaccination and parasite-control arrangements
-
Behaviour, reactivity and bite history
-
Resource guarding or handling sensitivity
-
Escape behaviour and recall reliability
-
Veterinary and emergency contacts
-
Access and collection instructions
-
Any other information relevant to safe care
Material changes must be reported before the next service. The Ministry cannot safely plan around information that has been withheld or allowed to become outdated.
You confirm that you are legally authorised to arrange care for the dog.
6. Health and Infectious Conditions
Dogs must be reasonably fit for the booked service and free from known contagious illness.
We may refuse collection or end a service where a dog appears seriously unwell, infectious or unable to participate safely.
Females in season cannot join group operations. Alternative arrangements may be offered where available.
7. Field Ops Pack Patrols
A One-Hour Field Ops Pack Patrol includes approximately 60 minutes of genuine outdoor mission time.
Collection, return and ordinary travel to the walking location are not intended to reduce that hour, although unavoidable operational or welfare circumstances may occasionally require adjustment.
Locations and companions may vary according to weather, safety, compatibility and route planning.
8. Extended 2-Hour+ Missions
An Extended Mission is one continuous outdoor expedition lasting at least two hours unless shortened for safety or welfare reasons.
It may include walking, exploration, enrichment, play, water stops and appropriate opportunities to rest.
It is not represented as two separate visits unless specifically agreed.
9. Day Manoeuvres
Day Manoeuvres is an extended mobile walking and outdoor-adventure service. It is not provided as premises-based daycare, kennel boarding or daytime housing.
Participating dogs accompany the Ministry for part of its operational day. The service may include:
-
Multiple walks or field sessions
-
Travel between outdoor locations
-
Countryside exploration
-
Enrichment and play
-
Fresh water
-
Appropriate rest and decompression periods
Day Manoeuvres does not operate to fixed 9am–5pm or 9am–6pm hours. An estimated collection and return window will be provided, but timings may vary because of routes, traffic, weather, group welfare and operational requirements.
The duration does not represent continuous walking. Activity and rest will be adjusted according to each dog’s age, health, fitness and the prevailing conditions.
10. Group Operations
Dogs are matched according to temperament, confidence, size, energy, walking style and compatibility.
Specific companions, locations and collection times cannot be guaranteed.
We may change a dog’s assigned unit where reasonably necessary for safety, welfare or compatibility.
11. Leads and Recall
Dogs will only be permitted off lead where:
-
Written Handler permission has been provided;
-
The dog has demonstrated suitable recall;
-
The location and conditions are considered appropriate; and
-
Field Command considers off-lead activity safe at that time.
Written permission does not require us to remove the lead. Long lines or other suitable equipment may be used instead.
Dogs will not knowingly be permitted to chase livestock, wildlife or members of the public.
12. Equipment
Dogs must have a secure, properly fitted collar or harness and legally required identification.
You must disclose any specialist handling equipment or restrictions.
We may refuse to use equipment we reasonably consider damaged, unsuitable or unsafe.
13. Collection and Return
Collection windows are estimates rather than guaranteed appointment times unless expressly agreed otherwise.
Traffic, weather, earlier missions and animal-welfare requirements may affect timings. Material delays will be communicated where reasonably possible.
You must provide safe and lawful access. If we cannot collect the dog or enter the property, the service will normally remain chargeable because the time and journey were reserved.
14. Home Welfare Patrols
A Home Welfare Patrol may include:
-
Garden or toilet breaks
-
Feeding and fresh water
-
Play and companionship
-
Age-appropriate enrichment
-
Agreed medication
-
Basic animal-welfare and household checks
Only duties agreed before the booking are included.
Gardens and exercise areas must be reasonably secure and free from known hazards. We must be told about defective gates, fencing or locks.
15. House & Hound Watch
House & Hound Watch provides extended care while the Handler is away.
The booking must specify:
-
The period of responsibility
-
Overnight or visiting arrangements
-
Whether care is provided inside the property or from an agreed nearby position
-
Walks, meals and routines
-
Medication
-
Other animals included
-
Household duties
-
Access, security and emergency procedures
All cameras and recording devices must be disclosed before the service begins. Cameras must not monitor private sleeping, washing or changing areas.
If your return is delayed, you must contact us immediately. Continued care is subject to availability and additional charges.
16. Canine Logistics and Transportation
Canine Logistics may provide prearranged transportation to:
-
Veterinary practices
-
Groomers
-
Family members
-
Approved care providers
-
Other agreed destinations
Collection authority, destination, receiving person, journey requirements and charges must be confirmed beforehand.
Dogs will be transported using suitable restraints, crates or separated areas appropriate to their size, behaviour and travel requirements.
Waiting time, parking, additional mileage and extended appointments may incur additional charges where explained before or during the assignment.
Canine Logistics is not an emergency veterinary ambulance, and urgent availability cannot be guaranteed.
17. Food, Treats and Medication
Food, treats and medication will only be provided according to agreed instructions.
You must supply sufficient clearly labelled food and medication.
Straightforward medication may be administered where agreed and within our competence. We may decline injections, invasive treatments or complex medical procedures.
We are not responsible for consequences arising from incorrect, incomplete or outdated instructions supplied by the Handler.
18. Weather and Operational Changes
Welfare takes priority over the original timetable.
During heat, storms, snow, ice, flooding or other unsafe conditions, we may:
-
Change the route or location;
-
Alter collection times;
-
Shorten outdoor activity;
-
Provide shaded or lower-intensity enrichment;
-
Substitute a Home Welfare Patrol; or
-
Cancel where no safe alternative exists.
You will be informed of material changes as soon as reasonably practical.
19. Emergencies and Veterinary Treatment
You authorise us to obtain veterinary advice or treatment where we reasonably believe it is necessary and you or your emergency contact cannot be reached.
We will try to use your nominated veterinary practice. In an urgent situation, the nearest reasonably available practice may be used.
You remain responsible for reasonable veterinary, transportation and related costs unless those costs result directly from our failure to use reasonable care and skill.
You must provide an emergency contact who is familiar with the dog and authorised to make decisions.
20. Incidents
Material incidents will be recorded and reported to the Handler.
These may include:
-
Injury or illness
-
Bites or significant conflicts
-
Escape or loss
-
Damage to property
-
Emergency veterinary treatment
-
Serious behavioural concerns
An incident may result in reassessment, service changes or suspension from group operations.
21. Prices
The applicable price will be displayed on the website, booking confirmation, membership agreement or invoice.
Additional mileage, waiting time, parking, extended care or emergency expenditure may be charged where reasonably incurred and explained.
Prices may change. Existing membership customers will receive at least 30 days’ notice of a price increase and may end the membership before the new price takes effect.
22. Payment
Payment is due on the date stated in the booking confirmation or invoice.
Recurring services may be collected automatically using the authorised payment method.
If payment is overdue, we may suspend future services until the account is brought up to date.
We will not impose unlawful payment surcharges.
23. Regular Reserved Memberships
A recurring membership reserves continuing capacity for the dog rather than purchasing a fixed bundle of individual walks.
The monthly payment remains the same during months containing different numbers of weekdays. All qualifying weekdays are included, excluding bank holidays unless agreed otherwise.
Handler holidays, absences and unused places do not normally reduce the monthly charge because the place, time and route capacity remain reserved.
Membership continues until ended by either party with at least 30 days’ written notice.
We may end a membership immediately where:
-
Continued service would be unsafe;
-
Material information has been withheld;
-
Payments remain overdue;
-
Staff, animals or members of the public are placed at risk; or
-
The Handler behaves abusively or unlawfully.
24. One-Off Cancellations
Please provide at least 48 hours’ notice when cancelling a one-off service.
Where less notice is provided, we may charge up to the full service price to reflect reserved time, unrecoverable costs and capacity that could not reasonably be filled.
Cancellation charges will be applied fairly and will take account of whether the booking could reasonably be replaced.
25. Cancellation by the Ministry
We may cancel or change a service because of:
-
Illness or emergency
-
Vehicle failure
-
Dangerous weather
-
Animal-welfare concerns
-
Unsafe access
-
Circumstances beyond reasonable control
Where we cannot provide the agreed service or a reasonable alternative, an appropriate replacement, credit or refund will be offered.
26. Statutory Cooling-Off Rights
Where a consumer enters a contract online, by telephone or away from our business premises, a statutory 14-day cancellation period may apply.
If you ask us to begin services during that period, you expressly request early performance.
If you cancel after services have begun, you may be required to pay a proportionate amount for services already supplied.
Where a service has been fully performed during the cancellation period following the required express request and acknowledgement, the statutory cancellation right may be lost.
This section does not restrict any rights provided by law.
27. Photographs and Marketing
Operational photographs may be shared privately with the Handler where safe and practical.
Photographs will only be used publicly for advertising or social media where appropriate permission has been obtained.
Marketing permission may be refused or withdrawn without affecting ordinary services.
28. Keys and Property Access
Keys should be coded without displaying the full property address and will be stored as securely as reasonably possible.
Access information will be limited to authorised personnel who require it to deliver the service.
You must notify us immediately if keys, locks, alarms or access arrangements change.
29. Property and Household Duties
You must disclose known hazards, defective boundaries and any items requiring particular care.
We are not responsible for ordinary wear, mud or minor disturbance arising from properly delivered dog care.
We remain responsible where property damage is caused by our failure to use reasonable care and skill.
30. Insurance
The Ministry will maintain insurance appropriate to the services being provided.
Insurance details can be supplied on request.
This section must not be published until the required public liability, care/custody/control, transportation and house-sitting cover is active and confirmed.
31. Liability
We will provide services with reasonable care and skill.
Nothing in these Terms excludes or restricts:
-
Liability for death or personal injury caused by negligence;
-
Liability for fraud or fraudulent misrepresentation;
-
Your statutory consumer rights; or
-
Any liability that cannot legally be excluded.
Dogs are living animals and ordinary outdoor activities carry unavoidable risks. We are not responsible for loss arising solely from an inherent, disclosed and reasonably managed risk of the agreed activity.
The Handler may be responsible for reasonably foreseeable losses caused by materially inaccurate or withheld information about the dog or property.
32. Privacy and Personal Information
Personal information will be collected and used for:
-
Bookings and customer administration
-
Animal care and safety
-
Communication
-
Payments and accounting
-
Emergency response
-
Insurance and legal obligations
-
Legitimate business administration
Further information will be provided in the Ministry’s separate Privacy Policy.
33. Complaints
Please report concerns promptly and provide relevant dates and details.
We will investigate fairly and aim to provide a substantive response within 14 days.
Where a service has not been provided with reasonable care and skill, an appropriate legal remedy will be considered.
34. Changes to These Terms
We may update these Terms when services, prices, insurance arrangements or legal requirements change.
Material changes affecting an existing membership will be communicated with reasonable advance notice.
35. Severability
If any part of these Terms is found to be unlawful or unenforceable, the remaining sections will continue to apply.
36. Third-Party Rights
Unless expressly stated otherwise, no person other than the Ministry and the Handler has the right to enforce these Terms.
37. Governing Law
These Terms are governed by the law of England and Wales.
Consumers retain any mandatory legal rights that apply where they live.
38. Acceptance
By confirming a booking, completing the client-registration form or starting a membership, you confirm that:
-
The information supplied is accurate;
-
Relevant medical and behavioural history has been disclosed;
-
You are authorised to arrange care for the dog;
-
You accept the confirmed price and service arrangements; and
-
You agree to these Terms and Conditions.
